Part 1 of 5: How your letter is handled in our system
Hi there. We want to give you full transparency over how our system works to assure you we take active steps to manage and maintain the confidentiality of your data, in exchange for your trust to engage our befrienders and to heal. Once your letter is sent out, we will notify our network of peer befrienders who can see a preview (first 50 words) of your letter, in the form of a post-it. Available befriender on the platform will review and take up your letter. Concurrently, the post-it will be removed from the noticeboard so no other befrienders can have access to your letter content. A moderator will check through every drafted response from the befriender to ensure that it protects your safety before you receive a reply. You are encouraged to write back if it is helpful for your well-being. Subsequent letters will be communicated to the same befriender and moderator who had initially supported you. Your letter will only go to their mail box and your letter would not be publicly available to the rest of the community. This support will be continue for up to 21 days from the moment you receive a reply from us.
Part 2 of 5: How we keep your letter content confidential while the thread is active
We appreciate your courage to share and want to assure you we have a robust and transparent process to managing your data. You will notice your past letters that has already been responded to by the befrienders and vetted by the moderator is hidden. This content will remain hidden unless there is a need to know, especially in cases where crisis support needs to be recommended. In this case, the content will only be shown to the moderator, who is an accredited counsellor.
Part 3 of 5: How we keep your letter confidential after thread is inactive
When your thread expires, the entire conversation log will be redacted. You will see the following text: "Your letter content has been edited and replaced by this line of text. This is a permanent and irreversible change. We retain the null cases to ensure our aggregate data remains accurate. Aggregate data do not contain any personal or identifiable data of any single user.
Part 4 of 5: What aggregate data do we store
We track the topics of your letter, your emotion and function stamps, your intention gifs, the frequency of your engagement with your befrienders as well as your log-in and logout timings.
